Quick answer: A school character certificate states the student's name and parents' names, admission number, the class and period studied at the school, and the school's assessment of the student's conduct and character during that time, ending with the date of issue and the principal's signature and school seal. It is not interchangeable with a transfer certificate: a TC records that a student has left, while a character certificate speaks only to conduct, and institutions asking for one usually will not accept the other.

What a character certificate actually certifies

A character certificate, sometimes called a conduct certificate, is the school's statement about a student's behaviour and discipline during the years they studied there. Colleges ask for one at admission, employers sometimes ask school leavers for one, and it is routinely required alongside a transfer certificate when a student moves.

It is a different document from the two it gets confused with. A bonafide certificate proves current enrolment. A transfer certificate records academic details on leaving. A character certificate speaks only to conduct, which is why it carries a conduct grading rather than marks or attendance.

Be careful with the wording

A character certificate is a statement of opinion the school is putting in writing under its seal, so the wording deserves more thought than a routine form. Keep it factual and bounded: standard phrasing limits the claim to what the school can actually attest, which is the period the student was under its supervision, and avoids open-ended guarantees about future behaviour.

If a student's conduct was genuinely a problem, do not write Excellent to avoid an awkward conversation, and equally do not use the certificate to punish. Grading conduct as Satisfactory without elaborating is the accepted way to be honest without prejudicing a young person's admission. Documented disciplinary matters belong in the school's internal records, not in a certificate the student carries to every interview.

Issue it with the TC, not after

Most students who need a character certificate need it at the same moment they need a transfer certificate: they are leaving, and the next institution wants both. Issuing them together saves the family a second trip and saves your office a second round of record lookups. Build the character certificate into the same leaving checklist as the TC and the final fee clearance.

Keep the numbers in one register

Number character certificates sequentially by academic year and log each one. Because this document travels with the student to colleges and employers, you may be asked years later to confirm a certificate is authentic. Without a register you cannot answer, and forged school certificates are common enough that verification requests do happen.
